Job description:

Strengths in Communities, trading as Parents 1st, was founded as a non-profit organisation about 10 years ago. It operates in South Essex but has also two licensed affiliate volunteer programmes and is well known as a brand on a national level. Parents 1st ethos is to achieve social impact by helping babies to have the best possible start in life by offering early intervention for vulnerable parents through dedicated peer support during pregnancy, birth and beyond. Parents 1st has just started to set up an Open Source platform to share its resources, amounting to approximately 3,000 documents, and key operating manual with the wider community. The idea is to create a platform to share all knowledge and documentation gathered since the organisation’s inception free of charge. The platform will address several user groups, such as new and existing peer support programme leaders, social enterprises, health commissioners, academics, field practitioners, parents and volunteers. Other organisations and individuals will be encouraged to register to be able to contribute to the content of the new platform.

Overview of the role:

At present, the implementation of the new platform is ongoing. During the implementation phase, the job holder will be required to help the CEO and the project team with the administration of the project. Once the project is finalised, the job holder will be responsible for the administrative work in relation with the platform, such as branding and uploading materials. In addition, the job holder will act as a moderator for the platform, by monitoring the content and new uploads, and by escalating any issues internally to management. The job holder will also be required to carry out some financial administrative tasks, such as handling invoices and ensure correct entries into the accounting system. This role provides a unique opportunity for the successful applicant to contribute to the success of the new Open Source platform from the start and to learn on the job as induction and training will be provided.

Main responsibilities:

During the implementation of the Open Source platform, the job holder will be required to:

  • Work closely with the CEO of Parents 1st and the project manager
  • Assist coordination between all consultants working on the implementation of the platform (i.e. IT consultants, PR agency, legal advisors etc)
  • Review, brand and upload documents to the new platform
  • Assist with the financial administration (i.e. handling invoices and ensure correct entering into the accounting system)
  • Organise team meetings and conference calls
  • Assist the CEO and project manager with other administrative tasks as and when necessary. During the implementation phase and after the set-up of the Open Source platform, the job holder will be required to work independently as well as part of a (virtual) team.

Once the new platform has been launched, the job holder will also be required to:

  • Act as a moderator for the new platform (i.e. by reviewing new content, assess it and escalate inappropriate content as per internal procedures)
  • Assist with requests for help with regards to technical and administrative issues from registered users - Ensure consistent branding and maintain the document library
  • Organise board meetings and other team meetings, as required
  • Assist with organising a national conference
  • Continue to assist with the financial administration of the new platform (as above).

Essential skills and experience required:

  • Excellent written and verbal communication skills
  • Good organisational skills
  • Able to communicate appropriately with a diverse range of contacts (such as the CEO, external suppliers and registered users of the new platform)
  • Excellent team working skills as well as the ability to work on own initiative/remotely with minimum supervision
  • Able to plan, organise and prioritise work to deadlines and under pressure
  • Experience of working as an administrator
  • Ability to review uploaded documents and ensure compliance with agreed editorial standards.
  • Ability and willingness to travel to team meetings in London (minimum monthly)

Desirable skills and experience required:

  • Experience of a moderator for a platform, blog or similar
  • IT skills (e.g. experience with Podio or other platform)
  • Experience of working from home and managing work, time and communication with colleagues accordingly
  • Experience of working in an editorial environment (e.g. writing/proof-reading and editing articles, blogs, newsletters, reports or similar)
  • Experience of working for a charitable organisation
  • Experience of managing large volumes of documents
  • An understanding of the issues that new parents, volunteers and charitable organisations face
  • Ability and willingness to travel occasionally to other parts of the UK (with travel not exceeding 10% p.a.).
